Document Creation Software: Saves Time and Money

document creation software

Businesses that still depend on manual processes such as filling in and creating documents waste a lot of valuable time. In fact, your employees can get bored performing repetitive steps for document generation. The time spent also translates to money that could have been put to better use. Take, for instance, the accounting department preparing an annual expense report and having to enter all the figures manually. The number of people it will take and the time they will spend on that activity can be a pain.

Contrasting that with the best document creation software, your business will have a more efficient way of handling document creation and the employees would be able to do more in other fields with less hassle. Moreover, you don’t have to train new employees about various aspects of document generation when you choose an efficient document generation software.

Here are some more compelling and practical reasons to clear your doubts about whether automatic document generation is right for your business:

The Paper Problem

Recent studies of the use of paper in different organizations in America revealed that over $100 billion is spent every year on paper documents which eventually becomes obsolete!

For example, the shelf life of paper forms is about 3 months before they are outdated. What’s more, paper documents will need to be stored, which means storage space, and then they have to be managed so that they are easier to find, but this is a huge task and, in most cases, documents will still go missing as a result of mismanagement. The loss of these documents can cost the organization as much as $300.

If, for example, a business employs 1000 people and it is still manually entering data into documents and printing them, it is the same as employing over 200 employees for the sole purpose of filling the documents.

Think of the time and money going into the payment of over 200 people just to fill documents!

According to another survey carried out on information workers, each employee was spending on average 11 hours a week creating different documents and that does not include the time it will take to fill forms, verify the information, and have it approved and then find storage for them.

Solving These Issues Using the Best Document Automation Software

The amount of time employees spends on mundane tasks like filling in documents and creating them can be cut down to a fraction. Choosing a document generation software can fast track the procedure leaving employees with more time to focus on core activities of the organization that brings in money instead of sucking it up.

An advanced document assembly software enables the employees to edit frequently used documents like contracts right on-screen and without printing, it can be approved with the help of network shared documents. This is a more secure way of generating documents and it takes a lot less time.

Paperless automation of documents is a procedure that is welcomed by most employees who find that they are doing a lot more important stuff that they enjoy and they are able to do the boring stuff faster and from anywhere as long as they have a connected mobile device.

Work gets done much faster at organizations that adopt document production tools. They also see the elimination of common mistakes that are associated with manual processes.

Despite what is imagined to be a looming threat of technology robbing humans of their jobs, most employees are actually happy that they can leave repetitive tasks to the machines as they shift their focus to other activities. The idea of being able to work anywhere and while on-the-go is a refreshing thought that is welcomed.

Document automation software is proof that humans and computers can work together, it does not have to be either one or the other!

Studies have actually been carried out to test the efficiency of computers working with humans or computers working on their own and it was discovered that humans preferred the automated process since computer intelligence allows them to learn and improve quickly which means they will understand the needs of their human co-workers better.

The advantages of document generation are evident and they are appealing to many businesses and their employees:

Datasets have been re-written from scratch to be more powerful and easier to use.

Stored Procedure Wizard (Designer)

This works for all tag types that are connected to a SQL-based data source (Microsoft SQL Server, Oracle, MySQL, or DB2).

Boolean Conditional Wizard (Designer)

Before, conditional statements could only be written manually. Now they can also be built using our intuitive Wizard interface.

Improved HTML Output

Version 13 New Data Sources

Windward now works with a slew of new datasources: MongoDB, JSON, Cassandra, OData, Salesforce.com

Generate Code

The Generate Code tool in the designer allows you to open an existing template and, with a click of a button, automatically create a window with the code needed to run your current template with all data sources and variables. Simply copy this code and paste into your application's code in the appropriate place. You now have Windward integrated into your application.

You only need to do this once. You do not do this for each template. Instead, where it has explicit files for the template and output, change that to parameters you pass to this code. Same for the parameters passed to Windward. This example uses explicit values to show you what to substitute in where.

Pivot Tables Adjusted in Output

Any pivot tables in an XLSX template are carried over to the XLSX output. The ranges in the pivot ranges are adjusted to match the generated output. So your final XLSX will have pivot tables set as expected in the generated file.

This makes creating an XLSX workbook with pivot tables trivial.

Imported Template Can be Set to Match the Parent Styles

In an imported sub-template, if its properties for a style (ex. Normal) differ from the parent template's properties for the style, the use in the sub-template can be set to either use the properties in the sub-template, or the properties in the parent.

You set to retain when you don't want the child template's styling to change when imported. You set to use the parent when you want the styling of the imported template to match the styling in the parent.

Any explicit styling is always retained. This only impacts styling set by styles.

Tags can be Placed in Text Boxes

Tags can be placed in text boxes. Including linked text boxes. This gives you the ability to set the text in a textbox from your data.

Tags can be Placed in Shapes & Smart Art

Tags can be placed in shapes & smart art. This gives you the ability to set the text in a shape from your data.

HTML Output Supports Embedded Images

When generating HTML output, the engine can either write bitmaps as distinct files the generate HTML references, or it can embed the images in the HTML providing a single file for the output.

Footnotes & Endnotes can Have Tags

You can place tags in pretty much any part of a template, including in footnotes & endnotes.

Document Locking Supported in DOCX & XLSX

Any parts of a DOCX or XLSX (PowerPoint does not support this) file that are locked in the template, will be locked the same in the output.

Specify Font Substitution

If a font used in the template does not exist on the server generating a report, the font to substitute can be specified.
In addition, if a glyph to be rendered does not exist in the font specified, you can specify the replacement font. This can be set distinctly for European, Bi-Directional, and Far East fonts.

Process Multiple Datasources Simultaneously

If you need this - it's essential. And if you don't need it, it's irrelevant.

Windward enables you to build a document by applying multiple datasources to the template simultaneously. When Windward is merging the data into a template, it processes the template by handling each tag in order, and each tag pulls from different datasources. (As opposed to processing all of one datasource, then processing the next.)

This allows the select tag to use data from another datasource in its select. For example, if you are pulling customer information from one data source, you can then pull data from the sales datasource using the customer ID of the customer presently processing to pull the sales information for that customer. If you're interested in patching together your data from multiple datasources, read this post on our blog.
